Job Description
Key Responsibilities
- Maintain daily employee attendance records and ensure accurate tracking.
- Prepare and submit monthly attendance reports for engineers and office staff.
- Record and maintain vendor bills, invoices, and expense entries in Microsoft Excel.
- Monitor and ensure timely payment of company credit card bills.
- Handle incoming and outgoing office mail, courier services, and document dispatch.
- Oversee general office administration and ensure smooth day\-to\-day operations.
- Maintain inventory of office stationery, pantry supplies, and other consumables; raise purchase requests as needed.
- Supervise and coordinate the work of the office boy to ensure efficient housekeeping and office support services.
- Ensure the reception and common office areas are clean, organized, and presentable.
- Coordinate with vendors and service providers for office maintenance and repairs.
- Assist management with administrative tasks, documentation, and record keeping.
- Support HR and Accounts with routine administrative activities when required.
- Coordinate meetings, manage visitors, and handle incoming telephone calls professionally.
- Perform any other administrative or office\-related duties assigned by the management from time to time.
Qualifications \& Requirements
- Bachelor's degree or diploma in any discipline.
- Minimum **4\+ years of experience** as a Front Office Executive, Administrative Executive, or in a similar role.
- Proficiency in **Microsoft Office Suite**, including **MS Excel, MS Word, and Outlook**.
- Strong working knowledge of Excel for maintaining attendance records, bill entries, and reports.
- Excellent verbal and written communication skills in **English**.
- Professional telephone etiquette and interpersonal skills.
- Strong organizational, multitasking, and time management abilities.
- Attention to detail with the ability to maintain accurate records.
- Ability to work independently and handle multiple administrative responsibilities efficiently.
- Positive attitude, professional appearance, and a customer\-focused approach.
