Experience Required
- *Minimum 10 years of relevant administrative experience**, preferably in a reputed school, educational institution, university, or large organization, with at least 3–5 years in a leadership role.
Educational Qualification
- Bachelor's degree in Business Administration, Management, Commerce, or a related field.
- Master's degree (MBA/PGDM) preferred.
- Additional certifications in Facility Management, HR, Safety, Compliance, or Operations Management are an advantage.
Position Summary
The Head of Administration / GM Administration is responsible for overseeing the overall administrative, operational, infrastructure, facilities, transport, security, statutory compliance, vendor management, and support services of the school. The role ensures smooth day\-to\-day functioning of the institution by maintaining operational excellence, cost efficiency, safety standards, and regulatory compliance while supporting the school's academic mission.
Key Responsibilities1\. Administrative Operations
- Lead and manage all non\-academic administrative functions of the school.
- Develop, implement, and monitor administrative policies, procedures, and systems.
- Ensure efficient functioning of administrative departments and support staff.
- Streamline operational processes to improve productivity and service quality.
2\. Facilities \& Infrastructure Management
- Oversee maintenance and upkeep of school buildings, classrooms, laboratories, playgrounds, and common areas.
- Ensure all facilities are safe, functional, and conducive to learning.
- Manage infrastructure projects, renovations, expansions, and preventive maintenance programs.
- Coordinate with contractors and service providers for facility\-related works.
3\. Transport Management
- Supervise school transportation operations.
- Ensure compliance with transport safety regulations and standards.
- Monitor vehicle maintenance, route planning, GPS tracking, and driver performance.
- Handle transport\-related grievances and operational improvements.
4\. Security \& Safety
- Ensure campus security through effective deployment and monitoring of security personnel.
- Implement emergency response, evacuation, and disaster management procedures.
- Conduct periodic safety audits and risk assessments.
- Ensure compliance with fire safety and health regulations.
5\. Vendor \& Contract Management
- Identify, evaluate, negotiate, and manage vendors and service providers.
- Monitor service quality and adherence to contractual obligations.
- Ensure cost\-effective procurement of services and supplies.
- Maintain vendor performance records and service agreements.
6\. Budgeting \& Cost Control
- Prepare and manage annual administrative budgets.
- Monitor expenses and optimize operational costs without compromising quality.
- Review quotations, contracts, and purchase requests.
- Support financial planning and resource allocation initiatives.
7\. Statutory Compliance
- Ensure compliance with all applicable government regulations, labor laws, education board requirements, and local authority guidelines.
- Maintain licenses, permits, certifications, and statutory records.
- Coordinate inspections and audits by regulatory authorities.
8\. Human Resource Support
- Supervise administrative, housekeeping, maintenance, transport, and security teams.
- Support recruitment, onboarding, attendance management, and performance monitoring of non\-teaching staff.
- Facilitate training and development programs for administrative personnel.
9\. Procurement \& Asset Management
- Oversee procurement of administrative supplies, equipment, and services.
- Maintain asset registers and inventory records.
- Ensure proper utilization and maintenance of school assets.
10\. Stakeholder Coordination
- Act as a liaison between management, staff, parents, vendors, and government agencies on administrative matters.
- Address operational concerns and ensure timely resolution.
- Support school events, examinations, functions, and special projects.
