Job Description
Scope of Work – Office Admin / Senior Office Admin
The Office Admin / Senior Office Admin shall be responsible for managing day\-to\-day administrative, operational, tendering, HR compliance, and project coordination activities to ensure smooth business operations. The scope of work includes, but is not limited to, the following:
- Manage end\-to\-end tender documentation, preparation, submission, and follow\-up through GeM, CPP Portal, and other e\-tendering platforms.
- Coordinate Annual Maintenance Contract (AMC) activities, including customer communication, service scheduling, renewals, invoicing support, documentation, and service report management.
- Coordinate with service engineers, project teams, vendors, customers, and regional offices for timely execution of projects and service activities.
- Monitor daily work reports, employee attendance, travel plans, project progress, manpower deployment, and resource allocation.
- Prepare, maintain, and manage HR compliance documents, statutory records, onboarding documentation, employee deployment records, and client\-specific compliance requirements.
- Ensure timely submission of compliance documents required for client billing, contract execution, audits, and statutory obligations.
- Maintain employee records, office documentation, correspondence, registers, filing systems, and digital document repositories.
- Prepare quotations, purchase orders, work orders, invoices, delivery documentation, and other business\-related documents.
- Maintain MIS reports, project trackers, AMC databases, dashboards, and operational records for management review.
- Coordinate with customers, suppliers, consultants, government authorities, and internal departments to ensure smooth business operations.
- Support project execution by tracking material movement, vendor coordination, service schedules, and documentation.
- Ensure compliance with company policies, client requirements, contractual obligations, ISO procedures, and applicable statutory regulations.
- Assist management in preparing reports, presentations, meeting minutes, and operational analysis.
- Maintain confidentiality of company information, commercial documents, customer data, and employee records.
- Handle office administration activities, including asset management, stationery procurement, courier coordination, office maintenance, and visitor management.
- Support HR and Finance teams in payroll documentation, reimbursement records, employee attendance, leave management, and statutory filings.
- Coordinate with clients for payment follow\-up, invoice submission, work completion documentation, and contract renewals.
- Perform any other administrative, operational, coordination, or management support functions assigned by the company to ensure efficient business operations.
This scope of work may be expanded or modified based on organizational requirements, project needs, and management directives.
Pay: ₹10,860\.48 \- ₹20,194\.68 per month
