As Softobiz continues to grow its team and global footprint, we are looking for an experienced Head of Operations to be the organizational backbone of our three offices — Hyderabad, Mohali, and Kochi.
This is a senior, cross\-functional leadership role built for someone who is deeply process\-driven. You will not just manage operations — you will systematically study, document, improve, and institutionalize the way Softobiz works. You will bring Six Sigma discipline to how we run our offices, engage vendors, support our people, and manage day\-to\-day business operations.
IT operations is a component of this role, but the core of what we need is a highly structured, process\-first operations leader who can bring measurable efficiency and accountability to a fast\-growing technology company.
This role reports directly to the CTO / CEO and will have significant organizational visibility and impact.
- We are specifically looking for a Six Sigma certified professional. Candidates with Green Belt or Black Belt certification will be given strong preference.*
- *KEY RESPONSIBILITIES**
- *1\. Office \& Administrative Operations · Primary Focus**
- Take complete ownership of daily office operations across Hyderabad, Mohali, and Kochi \- ensuring smooth, consistent, and high\-quality functioning at all times.
- Develop, document, and enforce office policies, SOPs, and operational guidelines \- ensuring standardization across all three locations.
- Manage travel logistics, and internal event coordination.
- Plan and execute office expansions or restructuring in line with organizational growth and hiring forecasts.
- Build a culture of operational discipline \- where processes are followed, metrics are tracked, and improvements are continuous.
- *2\. Business \& Process Operations · Core Strength Required**
- Apply Six Sigma methodologies (DMAIC / DMADV) to identify, measure, and eliminate operational inefficiencies across the organization.
- Design and implement scalable, well\-documented workflows and SOPs that can be consistently followed across all offices and departments.
- Own the process improvement roadmap \- prioritize initiatives, drive execution, and report measurable outcomes to leadership.
- Act as a central coordination point between departments \- ensuring cross\-functional alignment and reducing operational friction.
- Define and track key operational KPIs and metrics; present regular performance dashboards to leadership.
- Lead root cause analysis (RCA) exercises when operational breakdowns occur and implement corrective and preventive actions (CAPA).
- Champion a culture of continuous improvement \- coach teams on process thinking and operational best practices.
- *3\. IT Operations**
- Oversee day\-to\-day IT infrastructure including networks, endpoints, servers, and cloud environments in coordination with the IT team.
- Ensure IT assets are properly procured, maintained, and tracked across all three offices.
- Manage IT onboarding/offboarding \- device provisioning, account access, and system setup.
- Coordinate with external IT vendors and MSPs to ensure service continuity and SLA adherence.
- Ensure basic IT security hygiene \- access controls, endpoint compliance, and data protection practices.
- *4\. Vendor \& Procurement Management**
- Own the end\-to\-end vendor management lifecycle — identification, evaluation, onboarding, and ongoing performance review.
- Negotiate contracts and SLAs for office services, IT, AMC, travel, and facilities vendors across all locations.
- Manage purchase requisitions, PO processing, invoice tracking, and vendor payments in coordination with Finance.
- Apply data\-driven vendor evaluation frameworks to continuously benchmark cost and service quality.
- *5\. People \& HR Administrative Support**
- Partner with the HR team to ensure seamless employee lifecycle operations — joining, onboarding logistics, ID/access, and exit formalities.
- Manage employee records, attendance systems, seat allocation, and administrative documentation.
- Coordinate payroll inputs, leave tracking, and benefits administration as required.
- Support HR during hiring drives, policy rollouts, or organizational changes from an operational standpoint.
- *WHAT WE'RE LOOKING FOR**
- **Six Sigma Green Belt or Black Belt certification — mandatory.**
- 8\+ years of progressive experience in operations, office management, or business administration with clear multi\-function ownership.
- Proven expertise in process design, documentation, and continuous improvement using Six Sigma or equivalent methodologies.
- Prior experience in an IT services, software, or technology company strongly preferred.
- Demonstrated ability to manage large, multi\-location office environments (100–500 people across 3\+ offices).
- Experience handling vendor negotiations, procurement, and contract lifecycle management.
- Comfortable partnering with HR on employee lifecycle operations and administrative coordination.
- Working knowledge of IT operations — infrastructure, helpdesk, asset management, and basic security practices.
- Strong analytical mindset — you measure what matters and make decisions based on data.
- Exceptional organizational, communication, and stakeholder management skills.
- High ownership mindset — you see problems, analyze root causes, and fix them systematically.
- Six Sigma Black Belt certification (Green Belt is the minimum requirement).
- Experience setting up or scaling operations in a high\-growth technology company.
- Familiarity with HRMS tools.
- Exposure to compliance and audit frameworks (ISO 27001, SOC 2, or similar).
- Project management certification (PMP, Prince2, or equivalent).
