Job Description

  • *Job Requirements**

The Project Management \& Program Management Systems Manager is the PMO's process and business systems leader, responsible for defining how project / program management tools should support portfolio governance and project delivery. While IT provides technical administration and implementation support, this role owns business requirements, process optimization, user adoption, reporting effectiveness, and the strategic evolution of project management capabilities across the organization.

The PM Systems Manager serves as the **PMO's business owner** for project / program management systems and processes, driving continuous improvement initiatives that enhance project delivery, portfolio visibility, governance effectiveness, and user experience. The role identifies business needs, defines system requirements, and partners closely with IT teams and vendors to implement and sustain improvements.

  • *Key Responsibilities**
  • Own the continuous improvement roadmap for project management tools, processes, and reporting capabilities in alignment with PMO strategy and organizational objectives.
  • Evaluate existing project management practices, workflows, governance processes, and system capabilities to identify opportunities for improvement and increased efficiency.
  • Gather feedback from project managers, portfolio leaders, resource managers, and executives to understand evolving business requirements and improvement opportunities.
  • Act as the primary liaison between the PMO, IT and Finance teams, translating business needs into system requirements, enhancement requests, and implementation priorities.
  • Partner with IT to design, test, deploy, and support enhancements to project management systems, workflows, integrations, and reporting solutions.
  • Lead the PMO's system requirements definition, user acceptance testing (UAT), and change adoption activities for system upgrades and new functionality.
  • Train the PMO or extended PMO teams on the tools including enhancements/updates.
  • Enhance the quality of adoption / usage of tools through continuous self\-learning and providing the requisite training accordingly.
  • Drive standardization of project management methodologies, templates, workflows, dashboards, and governance processes in the system in collaboration with process experts
  • Identify opportunities to automate manual PMO processes and reporting activities, working with IT teams to implement sustainable solutions.
  • Monitor system adoption, data quality, compliance, and user satisfaction, developing action plans to address gaps and increase effectiveness.
  • Establish KPIs and performance metrics to measure efficiency, reporting accuracy, system utilization, and overall PMO maturity.
  • Evaluate emerging project management technologies, industry best practices, and innovative capabilities that can improve portfolio management and decision\-making.
  • Lead continuous improvement initiatives that enhance project visibility, resource management, financial tracking, and executive reporting.
  • Support organizational change management efforts to ensure successful adoption of new processes, tools, and capabilities.
  • Collaborate with IT, other CFTs and vendors to ensure project management systems continue to meet business requirements and support future growth.
