Job Summary
The Admin Executive is responsible for managing day\-to\-day administrative activities, coordinating facility and office operations, supporting airport and corporate staff, maintaining records, ensuring vendor coordination, and assisting in compliance with aviation industry standards and company policies.
Key ResponsibilitiesAdministrative Operations
- Manage daily administrative activities and ensure smooth office operations.
- Maintain employee records, office files, and administrative documentation.
- Handle correspondence, emails, courier services, and document management.
- Prepare reports, presentations, and MIS as required by management.
Facility \& Infrastructure Management
- Monitor office infrastructure, housekeeping, pantry, and maintenance activities.
- Coordinate with vendors for repairs, AMC services, and facility requirements.
- Ensure availability of office supplies and stationeries.
- Maintain asset inventory and track office equipment.
Vendor Management
- Coordinate with service providers and vendors for administrative services.
- Process vendor invoices and maintain service agreements.
- Monitor vendor performance and compliance with service standards.
Travel \& Accommodation Coordination
- Arrange air tickets, hotel bookings, and transportation for employees and management.
- Coordinate travel schedules and maintain travel records.
Compliance \& Safety
- Ensure compliance with aviation security guidelines and organizational policies.
- Support audits and inspections by maintaining relevant records.
- Assist in implementing workplace health, safety, and security measures.
Employee Support
- Coordinate employee ID cards, access cards, and visitor management.
- Assist HR in onboarding activities and employee engagement initiatives.
- Handle employee administrative queries and support requirements.
Coordination \& Communication
- Liaise with airport authorities, service providers, and internal departments.
- Support operational teams in administrative and logistical requirements.
- Organize meetings, conferences, and company events.
Required Qualifications
- Bachelor's Degree in Business Administration, Management, or related field.
- 2–5 years of experience in Administration, preferably in the Aviation, Airport, Airline, or Hospitality industry.
- Knowledge of facility management and vendor coordination.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
