We are looking for a proactive and highly organized Operations \& Administration Executive to support the day\-to\-day functioning of our business involved in stadium seating, auditorium seating, institutional furniture, and related projects.
The role requires coordination across customers, vendors, production, logistics, service teams, accounts, and project sites to ensure smooth execution of projects from enquiry to completion.
The ideal candidate should be capable of independently tracking multiple activities, following up with stakeholders, maintaining documentation, and ensuring commitments are met on time.
Key ResponsibilitiesProject Coordination
- Track project progress from order receipt to completion.
- Coordinate with customers, vendors, production teams, and site personnel.
- Monitor project schedules and highlight delays or risks.
- Maintain project\-wise documentation and records.
Customer Coordination
- Follow up with customers for approvals, drawings, purchase orders, and payments.
- Maintain regular communication regarding project status.
- Ensure customer queries are addressed promptly.
Vendor \& Purchase Coordination
- Obtain quotations from suppliers and subcontractors.
- Follow up on material deliveries and service commitments.
- Maintain vendor databases and records.
Dispatch \& Logistics
- Coordinate dispatch schedules.
- Track shipments and deliveries.
- Ensure dispatch documentation is complete and properly filed.
Administration
- Maintain office records, contracts, and correspondence.
- Coordinate travel bookings, meetings, and appointments.
- Manage office supplies and administrative requirements.
- Support HR activities such as attendance, leave records, and onboarding.
Accounts Coordination
- Generate invoices and maintain invoice records.
- Track receivables and outstanding payments.
- Coordinate with the external accountant and auditor.
- Maintain payment follow\-up reports.
MIS \& Reporting

Educational Qualification
- Any degree or diploma.
- Commerce, Business Administration, or Engineering background preferred.
