Purchase \& Outsourcing Assistant – Job Description (Manufacturing Industry)
- *Job Title:** Purchase \& Outsourcing Assistant

Job Purpose
To support procurement and outsourcing activities by ensuring timely sourcing of materials, components, and subcontracted services, maintaining vendor relationships, processing purchase orders, and coordinating with internal departments for uninterrupted production operations.
Key Responsibilities
- Assist in sourcing raw materials, consumables, tools, and indirect purchases.
- Obtain quotations from vendors and prepare comparative statements.
- Generate and follow up on Purchase Orders (POs).
- Coordinate with suppliers regarding delivery schedules and order status.
- Monitor inventory levels and initiate procurement as per requirements.
- Maintain purchase records, vendor databases, and documentation.
- Verify purchase invoices and coordinate with Accounts for payment processing.
- *Outsourcing Activities**
- Coordinate with subcontractors/vendors for outsourced manufacturing operations.
- Issue material challans and maintain records of materials sent for job work.
- Track outsourced jobs and ensure timely receipt of finished goods.
- Monitor job\-work costs, delivery timelines, and quality requirements.
- Coordinate with Production, Quality, and Stores departments regarding outsourced work.
- Maintain records related to job work in compliance with applicable regulations.
- Develop and maintain good relationships with existing vendors.
- Assist in vendor evaluation and performance monitoring.
- Support identification and onboarding of new suppliers and subcontractors.
- *Reporting \& Documentation**
- Prepare periodic purchase and outsourcing reports.
- Maintain records of quotations, purchase orders, delivery schedules, and vendor communications.
- Ensure proper filing and documentation for audit purposes.
Qualifications
- Graduate in Commerce, Business Administration, Supply Chain Management, or a related field.
- Diploma or certification in Materials Management/Purchasing is an added advantage.
Experience
- 1–3 years of experience in purchase, procurement, stores, or outsourcing coordination in a manufacturing environment.
Skills Required
- Knowledge of procurement processes and vendor management.
- Understanding of outsourcing/job\-work operations.
- Proficiency in MS Excel and ERP systems.
- Good negotiation and communication skills.
- Strong organizational and follow\-up abilities.
- Attention to detail and documentation accuracy.
