To outline the processes and responsibilities of the Sales Coordinator to ensure smooth sales operations, proper customer handling, and accurate reporting.

The primary responsibilities of the Sales Coordinator include
- **Sales Support:**
- Assist the sales team with administrative tasks.
- Provide timely updates and relevant information regarding sales leads, opportunities, and customers.
- Prepare and maintain sales documents such as quotations, contracts, and proposals.
- Handle sales order processing from start to finish.
- **Customer Relationship Management:**
- Serve as a point of contact for customers for post\-sales inquiries.
- Assist in resolving customer complaints and issues.
- Maintain and update the customer database in the CRM system.
- **Data Entry and Documentation:**
- Ensure all sales activities are accurately recorded in the CRM or ERP system.
- Generate regular reports (daily, weekly, monthly) on sales activities, performance, and forecast.
- Maintain accurate sales records and ensure all documentation is properly archived.
- **Sales Scheduling:**
- Coordinate meetings between sales representatives and clients.
- Schedule product demonstrations, training sessions, and client meetings.
- Monitor and follow up on sales appointments to ensure they are kept.
- **Reporting and Analysis:**
- Generate sales reports based on data inputs and communicate results to the sales manager.
- Track and report on sales targets and KPIs.
- Monitor lead generation efforts and conversions, providing insights for sales strategy adjustments.
- **Order Processing \& Invoicing:**
- Confirm product availability and delivery timelines.
- Create, track, and follow up on customer orders and shipments.
- Ensure timely invoicing and payment follow\-up.
- **Inventory Management:**
- Ensure that stock levels are up\-to\-date and in line with customer demand.
- Work with the inventory team to ensure products are available for orders.
- **Sales Team Coordination:**
- Serve as a liaison between the sales team and other departments (e.g., marketing, logistics, finance).
- Assist in team meetings, setting sales goals, and providing feedback on performance.

- *A. Sales Order Processing**
- **Receiving Order Requests:**
- Receive and review sales orders submitted by sales reps or customers.
- Confirm product availability with the inventory team.
- Prepare the sales order in the system, ensuring all information is accurate (e.g., pricing, quantity, delivery dates).
- **Order Confirmation:**
- Send order confirmations to customers once the order is processed.
- Ensure customers receive order acknowledgments in a timely manner.
- **Invoicing:**
- After order completion, generate invoices for the customer.
- Ensure the invoice reflects any agreed\-upon discounts, terms, and conditions.
- Send invoices to the finance department for processing.
- *B. Sales Reporting**
- **Daily Reports:**
- Collect data from the sales team and CRM system.
- Provide a daily summary of new leads, opportunities, and closed deals.
- Report on the number of follow\-ups needed and actions required for the next day.
- **Weekly Reports:**
- Compile weekly sales performance metrics, including conversions, leads generated, and progress on sales targets.
- Share weekly performance insights with the sales manager and other stakeholders.

- **Creating Quotes and Proposals:**
- Collaborate with the sales rep to create custom quotes and proposals.
- Ensure that pricing, terms, and conditions are in line with company policies.
- Send quotes and proposals to customers and follow up for confirmation.
- **Document Management:**
- Ensure that all sales documents (quotes, contracts, orders) are filed and stored in an organized manner, both physically and digitally.
- Update the CRM system with new client information and sales details.
- **Tracking Customer Issues:**
- Log and track customer complaints or issues in the CRM system.
- Work with the customer support team to resolve any problems and ensure customer satisfaction.
- *D. Coordination with Other Teams**
- **Liaising with Marketing:**
- Coordinate with the marketing team to ensure that promotional materials and campaigns are aligned with sales efforts.
- Share sales feedback on marketing initiatives.
- **Collaborating with Finance:**
- Work with the finance team to ensure correct invoicing, payment tracking, and revenue forecasting.
- Ensure all necessary documentation for credit approvals and payment terms is provided.
- **Working with Logistics:**
- Coordinate with the logistics team to ensure timely and accurate product shipments.
- Follow up on delivery statuses and inform customers of any delays.

Sales Coordinators should be proficient in using the following tools
