We are looking for a smart, energetic, and highly adaptable Admin Generalist to support the day\-to\-day operations of our company. This is a multi\-functional role requiring someone who is comfortable handling administrative tasks, client communications, basic IT support, tendering assistance, record keeping, and operational coordination.
The ideal candidate should be tech\-savvy, eager to learn, comfortable using AI tools such as Claude and ChatGPT, and willing to take ownership of diverse responsibilities as required by the business.
- *Key ResponsibilitiesAdministration \& Operations**
- Manage day\-to\-day office administration activities.
- Handle ticket bookings, travel arrangements, and scheduling.
- Maintain company records, documents, and filing systems.
- Coordinate with vendors, suppliers, and service providers.
- Support management with operational and administrative tasks as required.
- Draft and manage professional email communications with clients and partners.
- Follow up on pending requests, quotations, and documentation.
- Coordinate between clients and internal teams for smooth execution.
- *Tendering \& Documentation Support**
- Assist in preparation and submission of tenders and bid documents.
- Collect and organize supporting documents required for tender submissions.
- Maintain records of ongoing and completed tenders.
- Track deadlines and ensure timely submissions.
- *Accounts \& Record Management**
- Maintain basic ledgers and operational records.
- Support invoice tracking and documentation.
- Coordinate with the accounts team for administrative requirements.
- Provide first\-level support for computers, printers, internet connectivity, and office software.
- Coordinate with external IT vendors when required.
- Assist employees with basic software and hardware issues.
- *AI \& Productivity Tools**
- Use AI tools such as Claude, ChatGPT, Gemini, and similar platforms to improve productivity.
- Assist in preparing drafts, reports, presentations, emails, and documentation using AI tools.
- Explore and implement AI\-based workflows for administrative efficiency.
- Good written and verbal communication skills in English.
- Basic knowledge of MS Office (Excel, Word, PowerPoint).
- Comfortable with email drafting and professional communication.
- Basic understanding of computers, networking, and troubleshooting.
- Strong organizational and multitasking abilities.
- Familiarity with AI tools such as ChatGPT, Claude, Gemini, or willingness to learn quickly.
- Attention to detail and ability to work independently.
- *Preferred Qualifications**
- Graduate in any stream.
- Experience in administration, operations, Basic IT operations, office coordination, tendering, or customer support is an advantage.
