MSG Promotions is looking for an experienced, organised, and proactive Administrative Assistant / Office Coordinator to support the daily operations of our growing business.
We are seeking candidates with 3–5 years of professional administrative experience who are comfortable handling supplier coordination, invoicing, CRM management, customer communication, and operational support within a fast\-paced hybrid work environment.
The ideal candidate should be detail\-oriented, dependable, and capable of independently managing multiple responsibilities while coordinating with UK\-based operations and teams.
- *Key ResponsibilitiesAdministrative Support**
- Provide day\-to\-day administrative support to the management team
- Maintain company records, databases, documents, and filing systems
- Assist with scheduling meetings, appointments, and office coordination
- Carry out general administrative and operational tasks
- *Supplier \& Order Management**
- Place supplier orders and monitor deliveries
- Maintain supplier records and communications
- Follow up on outstanding orders and delivery schedules
- Coordinate with suppliers regarding operational requirements
- *Invoicing \& Accounts Administration**
- Raise customer invoices accurately and on time
- Process purchase invoices and maintain financial records
- Assist with payment tracking and invoice reconciliation
- Support account managers with finance\-related administration
- *Customer Service \& Communication**
- Manage company email accounts and customer enquiries
- Communicate professionally with customers regarding orders, invoices, and support requests
- Ensure prompt and professional responses across all communication channels
- *Data Management \& Reporting**
- Collect, organise, and maintain company data and records
- Prepare spreadsheets and reports when required
- Assist in improving administrative efficiency and workflow organisation
- Maintain confidentiality and accuracy of company information
- *Skills \& Requirements**
- 3–5 years of professional administrative or office coordination experience
