Daily Operations

• **Communication Management:** Handle incoming calls, route inquiries, and respond to emails or correspondence in a timely manner.
• **Front Desk Reception:** Welcome clients, visitors, and vendors, ensuring a professional and hospitable office environment.
• **Supply Inventory:** Monitor stock levels of office supplies and breakroom consumables, placing orders when inventory runs low.
• **Mail \& Deliveries:** Sort, distribute, and send out mail, packages, and courier deliveries.

Scheduling \& Event Coordination

• **Calendar Management:** Maintain schedules, set up appointments, and manage meeting room bookings to prevent conflicts.
• **Travel Logistics:** Arrange flights, accommodations, and ground transportation for executive staff or business travelers.
• **Corporate Events:** Organize catering, meeting materials, and logistics for internal team gatherings, board meetings, and external conferences.

Record Keeping \& Documentation

• **Data Management:** Update and maintain physical and digital filing systems, including contracts, personnel documents, and client records.
• **Reporting:** Draft and format documents, business reports, memos, and presentations.
• **Bookkeeping \& Finance:** Assist the finance team by recording transactions, processing invoices, managing expense reports, and preparing basic bank deposits.

Facility \& Vendor Management

• **Office Maintenance:** Oversee the upkeep of the physical workspace, including furniture, lighting, and general repairs.
• **Equipment Upkeep:** Coordinate maintenance and troubleshooting for office equipment like printers, copiers, and Wi\-Fi systems.
• **Vendor Relations:** Act as the primary liaison between the company and facility contractors, cleaners, or utility providers.

Human Resources Support

• **Onboarding:** Assist HR by preparing workstations, managing paperwork, and giving office orientations to new hires.
• **Policy Compliance:** Ensure that the office operates in compliance with workplace safety standards and internal company policies.
