Ink In Caps is looking for a highly organized, proactive, and business\-savvy Executive Assistant to join the Founder’s Office. As an Executive Assistant – Founder’s Office, you will play a critical role in supporting leadership priorities, driving execution, and ensuring seamless coordination across stakeholders. Your responsibilities will include:
● **Strategic Support \& Business Awareness:** Understanding key business priorities, helping the Founder stay focused on high\-impact initiatives, and bringing awareness of market trends, industry developments, and current affairs into day\-to\-day discussions.
● **Calendar \& Communication Management:** Managing complex schedules with sound judgment, coordinating meetings, and handling internal and external communication professionally and confidently.
● **Meeting \& Follow\-up Management:** Preparing meeting agendas, documenting key discussions, tracking action items, and ensuring timely follow\-through on commitments and deliverables.
● **Stakeholder Coordination:** Acting as a bridge between leadership, teams, clients, partners, and external stakeholders to ensure alignment, transparency, and effective communication.
● **Technology \& Process Optimization:** Utilizing tools such as Google Workspace, Slack, Notion, CRM platforms, and AI\-powered solutions to improve productivity, streamline workflows, and enhance operational efficiency.
● **Project \& Priority Tracking:** Monitoring key initiatives, deadlines, and business priorities to ensure projects progress smoothly and critical tasks are not overlooked.
● **Reporting \& Presentation Support:** Preparing concise reports, summaries, presentations, and business updates to support informed decision\-making.
● **Problem Solving \& Execution Excellence:** Anticipating challenges, identifying solutions proactively, and ensuring smooth execution across multiple priorities.
● Minimum 3–6 years of experience in an Executive Assistant, Founder’s Office, Chief of Staff, or similar role.
● Strong written and verbal communication skills with the ability to engage confidently with senior stakeholders.
● Excellent organizational and time\-management skills with the ability to manage multiple priorities simultaneously.
● Strong business acumen and awareness of market trends, technology developments, and current affairs.
● Proficiency in productivity and collaboration tools such as Google Workspace, Slack, Notion, CRM systems, and similar platforms.
● Comfortable leveraging AI tools and automation technologies to improve productivity and efficiency.
● Strong problem\-solving skills with a proactive and solution\-oriented mindset.
● Ability to handle confidential information with professionalism, discretion, and maturity.
● Exceptional attention to detail and ability to maintain high standards of execution.
● Experience working in technology, SaaS, startup, or high\-growth business environments.
● Prior exposure to Founder’s Office, strategic operations, or leadership support functions.
● Demonstrated ability to simplify complex information into clear and actionable communication.
● Strong curiosity, business awareness, and an interest in staying updated on industry trends, technology, and innovation.
● Experience using AI\-powered productivity tools and workflow automation platforms.
