Job Description
Responsibilities
- Maintain a clean, organized, and presentable front desk with all necessary materials (pens, forms, paper, etc).
- Greet and welcome guests, clients, and visitors in a courteous and professional manner.
- Handle queries, provide accurate information, and address complaints promptly and effectively.
- Manage all incoming calls, redirect them appropriately, or take clear and accurate messages.
- Receive, sort, and distribute letters, couriers, and packages efficiently.
- Prepare and dispatch outgoing mail, including drafting correspondence and securing parcels.
- Review, organize, and forward emails on a regular basis.
- Maintain and update records and files, including attendance register, vendor register, and other administrative documents.
- Manage petty cash records in Excel, ensuring accurate tracking of daily inflow and outflow.
- Monitor office expenses and assist in basic cost tracking and reporting.
- Ensure office supplies and stationery are always available; track usage and place orders as needed.
- Coordinate with vendors and maintain proper documentation.
- Support scheduling, travel arrangements, and other administrative duties as assigned.
Desired Candidate Profile
- Proven experience as a front desk executive, receptionist, or in a similar role.
- Familiarity with office equipment (printer, scanner, fax machine, etc).
- Basic knowledge of office management and bookkeeping practices.
- Proficiency in English (both written and verbal).
- Strong working knowledge of MS Office (especially Excel and Word).
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- High level of attention to detail and accuracy.
