1\. **Reception \& Customer Service:**
· Greet and welcome clients, visitors, and guests in a professional and friendly manner.
· Answer phone calls, redirect inquiries, and provide information to clients and callers.
· Ensure that visitors sign in and are directed to the appropriate departments or personnel.
2\. **Administrative Support:**
· Coordinate communication between different departments and personnel.
· Handle incoming and outgoing mail, emails, and packages.
· Maintain office supplies and ensure the office is clean and organized.
3\. **Data Entry \& Record Keeping:**
· Maintain accurate records of visitors, meetings, and appointments.
· Input data and manage databases as needed.
· Prepare and maintain reports or documents for management review.
4\. **Coordination \& Communication:**
· Act as the first point of contact for employees and external parties.
· Provide assistance with administrative tasks to support managers and staff.
· Coordinate with other departments to ensure smooth operations and effective communication.
5\. **Event \& Meeting Coordination:**
· Assist in scheduling, organizing, and coordinating meetings and conferences.
· Prepare meeting rooms and ensure necessary equipment is available.
6\. **Handling Inquiries \& Resolving Issues:**
· Address client or visitor queries or concerns promptly and escalate issues when necessary.
· Provide excellent customer service and create a welcoming environment.
· Excellent communication and interpersonal skills.
· Strong organizational skills with attention to detail.
· Ability to multitask and prioritize tasks efficiently.
· Proficiency in office software (MS Office Suite, etc.).
· Experience in a receptionist or front office role is preferred.
