Job Summary
The Time Office Executive shall be responsible for maintaining accurate attendance, shift timing, gate movement, leave records, overtime records, manpower deployment data, and statutory compliance related to employee attendance and working hours within the textile factory. The role requires close coordination with production, HR, security, payroll, and departmental heads to ensure smooth workforce management and discipline.
Attendance \& Time Management
1\. Maintain daily attendance records of all workers, staff, operators, helpers, and contractual employees.
2\. Operate biometric attendance systems, punching machines, and manual attendance registers.
3\. Verify late coming, early leaving, absenteeism, and shift\-wise attendance.
4\. Prepare daily absentee and manpower shortage reports department\-wise.
5\. Ensure proper shift allocation and roster maintenance.
Shift \& Workforce Coordination
1\. Maintain shift schedules for day, evening, and night shifts.
2\. Coordinate with production departments regarding manpower deployment.
3\. Monitor reliever arrangements during lunch and shift changes.
4\. Prepare shift\-wise manpower utilization reports.
5\. Maintain records of overtime, double duty, and holiday working.
Gate Pass \& Movement Control
1\. Issue and maintain employee gate passes for official movement.
2\. Maintain inward and outward movement records of employees and visitors.
3\. Coordinate with security department regarding unauthorized exit or entry.
4\. Verify permissions for outside movement during working hours.
Leave Administration
1\. Maintain leave records.
2\. Process leave applications and update records in attendance systems.
3\. Coordinate leave approvals with department heads and HR.
Payroll Coordination
1\. Prepare attendance data for salary processing.
2\. Verify overtime calculations and shift allowances.
3\. Submit monthly attendance summaries to payroll/accounts department.
4\. Ensure accurate deduction calculations for absenteeism or late attendance.
Statutory \& Compliance Support
1\. Ensuring compliance.
2\. Maintain records required.
3\. ESI/PF attendance documentation
4\. Assist during inspections and audits.
Reporting \& Documentation
1\. Prepare daily, weekly, and monthly reports including: Attendance report, Overtime report, Absentee report, Shift deployment report, Contract labour attendance report
2\. Maintain proper filing and documentation of attendance records.
Employee Discipline \& Coordination
1\. Report habitual absenteeism, late attendance, or unauthorized movement.
2\. Coordinate with HR regarding disciplinary issues related to attendance.
3\. Support management in maintaining workplace discipline and punctuality.
Pay: ₹10,000\.00 \- ₹30,000\.00 per month
