Role Overview
Aerobot Labs is looking for an HR \& Admin Executive who can manage day\-to\-day employee coordination, attendance, leave records, recruitment support, office administration, documentation, vendor coordination, and general operational support.
This role is important for keeping the company organized, disciplined, compliant, and operationally smooth across office, RPTO training, engineering, sales, and field service teams.
Key Responsibilities1\. HR Operations
- Maintain employee records, joining documents, ID proofs, contracts, and HR files.
- Handle onboarding formalities for new employees, interns, trainers, engineers, and support staff.
- Track attendance, leaves, late marks, absences, and work timings.
- Maintain leave balance records and prepare monthly attendance summaries.
- Coordinate with management for salary inputs, deductions, incentives, and LOP calculations.
- Ensure employees follow company policies, attendance rules, reporting discipline, and workplace conduct standards.
- Support contract renewals, appointment letters, warning letters, relieving letters, and experience letters.
2\. Recruitment Support
- Post job openings on suitable platforms.
- Screen resumes and shortlist candidates.
- Coordinate interviews with management and department heads.
- Follow up with selected candidates until joining.
- Maintain a recruitment tracker for open positions, interview status, offers, and joining dates.
- Support hiring for trainers, engineers, telecallers, sales executives, interns, and admin roles.
3\. Office Administration
- Manage office supplies, stationery, files, registers, housekeeping, and basic infrastructure.
- Coordinate with office staff, housekeeping, maintenance vendors, and service providers.
- Ensure the office is clean, organized, and ready for daily operations.
- Maintain records of assets such as laptops, tools, remotes, chargers, training equipment, drones, batteries, and office devices.
- Track issue and return of company assets to employees or teams.
- Coordinate repairs, maintenance, and replacement of office and training equipment when required.
4\. RPTO and Training Administration Support
- Support student documentation for drone pilot training batches.
- Coordinate with training, operations, and sales teams for batch schedules, student lists, and training readiness.
- Help maintain student records, attendance, certificates, forms, and compliance documents.
- Ensure required documents are collected from students before batch commencement.
- Support administrative coordination between office and RPTO locations.
5\. Vendor, Purchase and Payment Coordination
- Coordinate with vendors for office supplies, training materials, repairs, logistics, and services.
- Collect quotations when required and maintain purchase records.
- Track vendor bills, payment status, and basic expense records.
- Coordinate with accounts/management for approvals and payment follow\-ups.
- Maintain proper filing of invoices, receipts, and purchase documents.
6\. Policy and Compliance Support
- Ensure employees follow company HR policies, leave policy, attendance policy, confidentiality rules, and workplace discipline.
- Support implementation of employment contracts and internal policy documents.
- Maintain confidentiality of employee, company, student, and client data.
- Assist in preparing internal notices, circulars, HR announcements, and policy updates.
7\. Daily Coordination and Reporting
- Act as the coordination point between management, employees, interns, trainers, engineers, sales, and admin staff.
- Maintain daily/weekly reports for attendance, leave, recruitment, assets, purchases, and pending admin tasks.
- Follow up with employees for work updates, documents, attendance corrections, and pending tasks when required.
- Escalate discipline, attendance, or performance\-related issues to management.
Required Skills
- Good communication and coordination skills.
- Strong documentation and record\-keeping ability.
- Basic understanding of HR, admin, attendance, and office management.
- Ability to handle employees, interns, vendors, and students professionally.
- Good follow\-up discipline.
- Working knowledge of Google Sheets, Excel, email, Google Drive, and basic office tools.
- Ability to maintain confidentiality.
- Organized, responsible, and process\-oriented working style.
Preferred Qualifications
- Bachelor’s degree in HR, Business Administration, Commerce, Management, or any relevant field.
- Prior experience in HR, admin, office coordination, recruitment, or operations support.
- Experience in training institutes, colleges, aviation, technology companies, or startups will be an advantage.

Pay: ₹10,000\.00 \- ₹15,000\.00 per month
