*About the Role:**
We are a reputed law office located in the Fort area of Mumbai and are seeking a dedicated and well\-organized Office Assistant to join our team. This is an important support role suited for an individual who is detail\-oriented, reliable, and maintains a professional approach to work.
*Eligibility Criteria:**
Minimum Education: Graduate in any stream (Commerce/Arts preferred). Qualifications in secretarial studies will be an advantage
Prior experience as an Office Assistant or in a similar administrative support role, preferably in a law firm or legal services environment.
Strong time management abilities, Communication skills and Interpersonal skills
Experience with technology and software mandatory
Familiarity with office management procedures and basic accounting principles
Excellent knowledge of MS Office (Word, Excel, Outlook) and office management software, as well as basic internet use
Good communication skills in English, Hindi, and Marathi
Ability to maintain confidentiality and professionalism.
*Work Scope:** The Office Assistant will be a key support member of the Firm’s administrative team and will assist in ensuring the smooth day\-to\-day functioning of the office. The role focuses on providing administrative, clerical, and coordination support under the guidance of the Office Administrator and senior staff.
The responsibilities would include
Assist the Office Administrator in the smooth day\-to\-day functioning of the office.
Provide administrative and clerical support to Partners, advocates, legal clerks, and other staff members, as well as provide coordination and communication between the Mumbai, Pune, and Delhi offices
Prepare, upload, and complete the e\-filing process of cases before the High Court and other courts/tribunals, ensuring timely submission and compliance with filing requirements.
Perform general clerical duties including photocopying, scanning, printing, binding, filing, data entry, and maintaining physical and electronic records of case files, client records, agreements, and legal documents.
Support in managing Partners' diaries, scheduling appointments, meetings, conference calls, and maintaining calendars.
Coordinate meeting arrangements, including conference room bookings and visitor management.
Welcome, receive, and assist clients and visitors during office visits and meetings.
Handle incoming and outgoing correspondence, including phone calls, emails, couriers, and postal communications.
Assist legal clerks in preparing and maintaining Weekly Boards and Daily Boards.
Maintain and update Inward and Outward Registers and attendance records.
(a) Assist in the preparation and processing of client engagement letters and related documentation.
(b) Preparation of Client Engagement Letters, process invoices and manage accounts payable and receivable.
(c)Maintain records of client invoices, payments received, and outstanding dues.
(d)Support the maintenance of petty cash records and related documentation.
(e)Assist in tracking office expenses and preparing expenditure reports for management review.
(f)Perform other accounting and billing support functions as assigned by the Office Administrator or Management.
*Salary Range**: ₹15,000 – ₹18,000 per month (based on subject to eligibility, qualification and experience)

Respond to routine administrative and clerical queries from clients and staff.

Monitor office supplies, stationery, pantry items, library records, case papers, and office inventories, and report replenishment requirements as necessary.
Coordinate with vendors, couriers, technicians, and service providers for routine office requirements, maintenance, repairs, and AMC\-related follow\-ups.
Undertake any other administrative, clerical, or office support duties assigned by the Office Administrator, Partners, or advocates from time to time.
