Job Summary
The Operations Administrator is responsible for ensuring the smooth and efficient day\-to\-day functioning of the educational institution. This role involves coordinating administrative activities, managing operational processes, supporting staff and students, maintaining records, overseeing facilities, and ensuring compliance with institutional policies and regulatory requirements.
Key ResponsibilitiesAdministrative Operations
- Manage daily administrative and operational activities of the institution.
- Maintain accurate records, files, and documentation.
- Coordinate communication between departments, faculty, students, and external stakeholders.
- Prepare reports, presentations, and operational documentation as required.
Facilities and Infrastructure Management
- Oversee maintenance and upkeep of classrooms, laboratories, offices, and campus facilities.
- Coordinate with vendors and service providers for repairs, housekeeping, security, and utilities.
- Monitor inventory of office supplies, educational materials, and equipment.
Student and Staff Support
- Assist with student admissions, registrations, and administrative inquiries.
- Support onboarding and administrative processes for faculty and staff.
- Coordinate scheduling of classes, meetings, events, and examinations.
Compliance and Policy Administration
- Ensure adherence to institutional policies and procedures.
- Maintain compliance with educational regulations, accreditation requirements, and safety standards.
- Assist in audits, inspections, and reporting requirements.
Financial and Procurement Support
- Process purchase requests and coordinate procurement activities.
- Track operational expenses and maintain budget\-related records.
- Assist finance teams with invoice processing and vendor payments.
Event and Program Coordination
- Support planning and execution of academic events, workshops, seminars, and conferences.
- Coordinate logistics, venue arrangements, and participant communications.
Data Management and Reporting
- Maintain student, staff, and operational databases.
- Generate periodic reports on attendance, facilities, inventory, and operational performance.
- Ensure confidentiality and security of institutional information.
Required Qualifications
- Bachelor's degree in Business Administration, Education Management, Operations Management, or a related field.
- 2–5 years of experience in administration or operations, preferably in an educational institution.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and administrative software systems.
