- *Role Overview:** The Secretary to the COO provides high\-level administrative, coordination, and communication support to ensure the smooth functioning of the COOs office. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast\-paced environment.
- Executive Support: Manage the COOs calendar, meetings, and appointments with strong prioritization. Coordinate internal and external meetings, including preparing agendas and MOMs (Minutes of Meeting). Handle confidential correspondence, reports, and presentations. Act as a gatekeeper for the COO’s time and communication
- Coordination \& Follow\-ups: Track action items across departments and ensure timely closure. Liaise with internal teams (Projects, Finance, Sales, Procurement, etc.) for updates and reporting. Coordinate with external stakeholders, consultants, and vendors.
- Documentation \& Reporting: Prepare reports, and presentations for leadership reviews, if required. Maintain organized records of key documents, contracts, and communication. Assist in preparing MIS reports and operational summaries.
- Communication Management: Draft emails, letters, and official communication on behalf of the COO. Screen calls and visitors, ensuring efficient communication flow. Ensure alignment and clarity in communication across departments.
- Travel \& Logistics: Arrange domestic and international travel (flights, hotels, itineraries). Manage expense reports and reimbursements. Coordinate logistics for meetings, site visits, and leadership events.
- Office of COO Management: Support execution of key strategic initiatives led by the COO. Assist in organizing leadership meetings, reviews, and offsites. Ensure smooth day\-to\-day functioning of the COO’s office
