Qualification
- Diploma / Bachelor's Degree in Electrical, Mechanical, Electronics, Instrumentation, or related Engineering discipline.
- Certification in Tender Management, Procurement, or Contract Management will be an added advantage.
Experience
- 3 to 5 years of experience in Tendering, GEM Portal, E\-Procurement, Bid Management, or Sales Coordination.
- Experience in handling Government, PSU, EPC, Industrial, or Infrastructure tenders preferred.
Job Summary
The Tender Executive will be responsible for identifying business opportunities through tender portals, preparing technical and commercial bids, managing GEM and E\-Procurement activities, coordinating order execution, and ensuring timely submission of tender documents. The role requires strong coordination with internal departments and customers to achieve successful bid participation and order fulfillment.
Key ResponsibilitiesTender Management
- Search, identify, and download relevant tenders from GEM, CPPP, E\-Procurement, and other tender portals.
- Review tender documents, technical specifications, eligibility criteria, and commercial requirements.
- Prepare and submit technical and commercial bids within stipulated timelines.
- Ensure compliance with tender terms and conditions.
- Track tender status and maintain records of submitted bids.
GEM \& E\-Procurement Portal Management
- Upload and update products on GEM and other E\-Procurement portals.
- Manage product catalogs, pricing, specifications, and certifications.
- Participate in bids, reverse auctions, and online procurement processes.
- Maintain vendor registrations and portal documentation.
Bid Documentation
- Prepare technical bid documents, commercial offers, compliance sheets, and supporting documents.
- Coordinate preparation of Bank Guarantees, EMDs, Performance Guarantees, and statutory documents.
- Liaise with customers and authorities regarding tender clarifications and amendments.
Order Processing \& Execution
- Process customer orders received through email and procurement portals.
- Create orders in ERP systems and coordinate invoice generation.
- Ensure accurate and timely execution of customer orders.
- Coordinate with warehouse and logistics teams for dispatch planning and delivery schedules.
Customer \& Internal Coordination
- Coordinate with Sales, Engineering, Accounts, Procurement, and Logistics teams.
- Update customer master data, product masters, and price lists.
- Follow up with Accounts for payment collections and documentation.
- Provide regular updates on order status and tender activities.
Import \& Export Documentation
- Prepare packing lists, invoices, shipping documents, and export/import\-related documentation.
- Ensure compliance with customer and regulatory requirements.
Reporting \& Analysis
- Maintain tender databases and MIS reports.
- Conduct competitor analysis and market intelligence activities.
- Prepare monthly reports on tender participation, success rates, and order status.
